Event Planning: Tips to Select the Right Venue

Event planning can be confusing, no matter what the occasion. But of course once it is done you can be sure it was worth it. If you are an event planner, to make the whole process easier, it is vital to keep a few things in perspective. You need to prioritize.

The best way to do this is by making a list of all the things that you need to get done for the event in the order of how important they are. And then each of those categories needs a guideline to follow. For example, as the first step is a venue, you need to make a list of all the things that you are looking for in the venue. And to help you further I have created a list below of the more important things that you need to consider when deciding on the venue. But remember that you need to list them according to your own priorities. This is because all venues might not fit exactly what you are looking for and you might have to make an exception in one or more of your preferences. This list is a compilation of important aspects any Event Planner should utilize for selecting a venue.

Price Range – The price range that you are looking for must be decided upon at the very beginning. This will not only eliminate any extra time spent looking at venues that are over your budget but it will also help bring the other points in perspective. Type of Venue – You need to decide whether you want an Indoor Venue, an Outdoor Venue or an Outdoor Accessible Venue. Each of these choices has their benefits and drawbacks and the decision would affect the following points as well. Views – The choices would include Ocean view, a Cityscape view or a Nature view. Proximity to your location – This is another important factor to consider as a location that is too far could prove inconvenient for everyone and at the same time it might not be possible to get a venue very close to your location. This is one of the more important things to consider in event planning as it will affect your decision for all the other points. Catering – You as a professional Event Planner, must decide whether you want the venue to provide catering or if you would rather bring in outside catering. Getting estimates in the prices before making the final decision is advisable as it could vary from place to place and also depends on the type of food that you would prefer and whether you would want alcohol to be served. Some venues allow outside catering, but make you choose from their preferred vendors. Time they give you the venue for: Some venues charge hundreds of dollars (and some thousands) per hour for extra time. Figure you if you are having time sensitive elements at your event, such as lighting which takes a long time to set up, and make sure the venue gives you at least 4 to 6 hours set up and 2 hours break down, + the time of your event. Ceiling Height – This might seem like a trivial point to consider but it is still quite important. Depending on other things that you might have planned, such as entertainment, the height of the ceiling would play an important role. Venue Amenities – This could include a bar, dance floor, valet parking, stage and kitchen facilities, and party rentals. Some venues offer tables and chairs, and even set them up for you. This can save you hundreds in rentals.

Apart from the above, the following must also be thought out carefully to get the right atmosphere that will suite the event that you want.

Lighting – Light can transform a venue completely to create a magical wonderland. You have many options in this area such as gobos, follow spots, projectors, screens, ambient lighting, atmospheric lighting, live video projection, front and rear projections, stage lightings and more. Sound – This is another important part of the ambiance of the venue. Music – You need to also make a choice on whether you would prefer a live band or a DJ for the event. This will of course depend on the event itself. Décor – Apart from lighting and sound, the décor of the place is also important. Rentals – Depending on the event you might need interactive games, tents, props, espresso machines, etc. Performers – For any event, whether it is a child’s birthday party or a corporate event, entertainment can really put everyone in a partying mood. Gifts and favors – Customized gifts or favors and also promotional products can be made to order and are a great way to help make the event more memorable. Transport – You could hire a transport from a limo to a tour bus for your special VIP guests and others. But this again will depend on the type of Event Planning you do. The above lists will help to give a general idea of how to go about prioritizing all the other factors. This list can prove useful to any Event Planner. I hope it does the same for you. If you have any queries or need any further advice please feel free to leave a comment. Also any suggestions are welcome. Good luck with all your Event Planning ventures.

Make your UK Special Event Magical with a London Magician

If you are in charge of planning a special event in the UK area, look no further than a London magician for your entertainment needs. Having an enjoyable time is paramount at any event so it is important to draw guests in and keep them engaged. Magic often is that draw because it appeals to the wide-eyed child in everyone.

The Appeal of Close Up Magic

One specialty to consider when booking a magician for your event is close up magic or micro-magic. If you want your event to be a familial, intimate experience, a magician specialising in close up magic is a great choice. The magician will perform an act in front of smaller groups such as guests seated at dinner tables. Often, the entertainer will ask for audience participation and use every day objects like napkins and coins, every day things that people relate to. Being able to witness magic up close and personal is a top draw for many guests.

A More Global Audience

If your event is larger, such as an awards dinner, trade show or even a sponsored cruise, a London magician with a global act is a great choice. Tailored for a more sizable audience, the magic act may be larger or present more showmanship. Audience members may or may not be called upon for assistance. Corporations may call upon a magician with a great stage act because of their universal appeal.

Choosing the Right Magician

There is no exact science when it comes to choosing a magician for your UK based event. Start with your contacts and see who has seen a magic act lately. Look for locally based entertainment companies as they might have referrals for magicians in your area. Search the internet for magical entertainers and see if they have their own website. Look for video clips and photos of various magician candidates for your event. Ask for referrals from previous clients and actually talk with them about how their event went with the magic show.

Meet with your magician candidates and get a sense of their personality and performance style. Do you want someone with a quick, humorous wit or someone that projects an air of mystery? Decide what entertainment capacity you want the magician to fill and then choose the best candidate based on your needs. The bottom line is to provide some fun and excitement for your event that people will talk about for months to come. Hiring a London magician is a great way to accomplish this.

Improve Staff Morale with Team Building Events

Corporate events such as those planned for team building have been going on for years. Many corporations will host an event as a way for their employees to unwind and if the event is to promote team building then there should be no focus on requirements for work performance but more a chance for reducing stress levels and giving your employees a break from the office.

There are a lot of options available for considering team building events and while your focus is on employee enjoyment the items included in the event can prove useful on return of your recently stress reduced relaxed employees. You can arrange employee activities that allow them to use their brainstorming skills in groups allowing all the attendees to use their creativity.

When you plan an event that focuses on activities requiring your employees to be organized and solve problems and specific situations you are in fact giving them training as well as team building. When employees work together on projects they create trust amongst themselves and you will see within the exercises that employees who are team leaders will stand out.

Another of the great benefits of a team building event, especially in large businesses who have many branches in different areas, is that the employees get the chance to finally meet and they do so in a new environment. Whilst they may have spoken many times or dealt electronically they may have never had the opportunity be face to face. These kinds of events can often enhance inter company relationships and lead to future benefits for productivity for the business as a whole.

You need to ensure when planning a team building event that the entertainment you plan is exciting and interesting to all your members. You also need to ensure that the planned events are possible for all attendees such as not to physical so that there are people who will not be able to take part. This is also something you must consider if you have any disabled employees as you want the event to be a success for everyone concerned. You do not want your employees to feel that they are on the job while they are at these events so thorough planning is a must. Here are some of the basic factors you need to take into account when planning the actual event.

How long will the event be? Where is the best location for the event? How difficult is it to arrange for all the required employees to attend? What budget do you have for the event and with that budget what can you achieve in the time frame required? Do your groups already all know each other as if they do different entertainment options may be required? What age ranges are there within your attendees? Are they a mix of male or female or are you dealing with just one gender? Will you incorporate competition in to the event for a little extra spice or will you keep everything low-key, this may depend on the age groups as above? Have they already all participated in team building events? If so make sure that you are not just repeating the previous theme with your event.

These are just a few of the points you need to consider when preparing a corporate event and there will be factors that relate to your business of course such as how will you cover all the absent employees and ensure that business function is carrying on while they are away. You need to ensure you consider the factors relating to the employees families as well and make sure that plenty of notice as to when the event will take place is provided.

There are businesses who concentrate on providing programs for team building events and perhaps you may require the services of them to ensure you have the greatest event you can. This of course will come with a cost factor however they will generally offer up a plan and on your acceptance make all the required arrangements for the event itself.

Whatever the way you plan the event you will find that your employees will feel the rewarded benefit of the break away as well as the chance to get together with their colleagues. You of course want to make sure you have a broad range of staff attend as the event is for the entire company not just for management level staff as this only alienates the staff in the other areas of your business and you want to build a team so make sure everyone is treated as equally as you can with these events.
